This website is deliberately simple. It sets no cookies, runs no analytics, stores nothing on your device and loads no fonts, scripts or images from other services. There is no tracking pixel, and you will not be added to any mailing list unless you ask to be. Just visiting creates only the standard server log our hosting provider keeps. We receive information from you only if you choose to book a call, email us, register for one of our events or complete the Share Your Experience form, and each is explained below.
The Perinatal Workplace Consultancy Ltd, registered in England and Wales, company no. 17126384. Registered office: 3 Brunel Road, Exeter, EX6 8QJ.
We are registered with the Information Commissioner’s Office, registration number ZC218036.
We are the data controller for the information described here. If you want to ask anything about it, email hello@perinatalworkplace.co.uk.
When you browse the website, the only information created is a standard server log kept by our hosting provider for security and to keep the site running. We do not use this information to identify you.
The cost calculator and Looks Good On Paper self-audit both work entirely within your browser. Anything you enter stays on your device, is not sent to us or anyone else, and disappears when you close the page. We only know your result if you choose to tell us.
The booking link goes to Google Calendar. When you book, Google collects your name, your email address and anything you write in the booking notes, and passes it to us so we can hold the meeting. We use it to prepare for and attend the call, and to follow up afterwards if you have asked us to.
Lawful basis: legitimate interests, specifically responding to an enquiry you have made. We keep booking records for up to two years after the call, unless they form part of a client record. Google provides the booking page through a Google account and processes the booking information as a controller under its own privacy policy. You do not have to give us any information, but we need a name and email address to book a call.
Email to the address above is handled by Google Workspace, which processes it on our behalf under Google’s data processing terms. We use what you send to reply to you. Lawful basis: legitimate interests, specifically responding to your message. We keep correspondence for as long as it is useful, and routinely for up to two years after our last contact, unless it forms part of a client record.
When you register for one of our free sessions, such as a lunch and learn, the registration form is a Google Form. We collect your name, work email address, organisation, job title and the approximate size of your organisation, plus anything you choose to write in the optional question box. The form is handled by Google Workspace, which processes it on our behalf under Google’s data processing terms. The details marked as required are needed to register. The optional question is up to you, and we may answer it during the session without naming you or your organisation. Please do not include personal health information in it.
We use your details to send you the joining link and a reminder, to make the session relevant to the people attending, and to send you one follow-up email afterwards with a link to our free self-audit and an invitation to book a call if that would help. If your organisation might benefit from our services, we may make a note of your interest so we can follow up once, as described here. Lawful basis: legitimate interests, specifically running the event you registered for and following up with you once afterwards. You can tell us at any time, including by replying to any of our emails, that you do not want the follow-up email, and we will not send it. You can also object to any other use of your details described here.
If you tick the optional box to hear about future sessions and resources, we will also email you about those. Lawful basis: consent. You can withdraw it at any time by emailing hello@perinatalworkplace.co.uk or replying to any of those emails. If you do not tick it, we will not add you to any mailing list.
Sessions run on Google Meet. Other attendees may see the name you join with. We send joining details to each person individually, so other attendees will not see your email address. We do not record or transcribe sessions. We keep registration details for up to 12 months after the session, unless you ask us to delete them sooner. Emails we exchange about the session are kept as described under “When you email”. If you ask us not to contact you, we keep just your email address on a do-not-contact list so that we respect your request. If you opted in to hear about future sessions, we keep your name and email address for that purpose until you withdraw your consent, and we review that list at least every two years.
Our Share Your Experience form is an optional way for employees, working parents, managers and People/HR professionals to let us know that they are willing to talk to us about their experience of pregnancy, pregnancy or baby loss, parental leave or returning to work.
When you complete the form, we collect your name or preferred name, your contact details and the perspective you would like to share. We use this information only to contact you and, where you wish, arrange a private conversation about your workplace experience. We do not use these contact details for general marketing.
Our lawful basis for using the information you provide through the form is consent. You can withdraw your consent at any time by emailing hello@perinatalworkplace.co.uk.
You do not need to provide details of your experience through the form itself. During a follow-up conversation, you may choose to share information relating to your health, pregnancy, pregnancy or baby loss, mental health or other sensitive personal circumstances. Some of this may be special category personal data under UK data protection law.
If we would like to record or use special category information that you share, we will explain how we propose to use it and obtain any additional consent required before recording or using it. Where we rely on explicit consent to process special category personal data, you can withdraw that consent at any time. Withdrawing your consent does not affect anything we did with your information before you withdrew it.
Completing the form or taking part in a conversation does not give The Perinatal Workplace Consultancy permission to publish your experience. If we would like to use part of what you have shared, for example as an anonymised quotation, case study or insight, we will show you the proposed wording and intended use and ask for your separate agreement first.
Contact details collected through Share Your Experience will be kept for up to 24 months from the date you submit the form, unless you ask us to delete them sooner. We will review the information we hold and delete it when it is no longer needed.
Information collected through Share Your Experience is handled in accordance with the other provisions of this Privacy Notice, including those relating to service providers, where your information goes, your data protection rights and how to contact us.
Our hosting provider, Netlify, keeps standard server logs, which include IP addresses, for security and to keep the site running. We do not use these to identify or profile visitors. Lawful basis: legitimate interests, specifically keeping the site secure and available. Netlify processes these logs on our behalf under its data processing agreement and keeps them for a limited period set by Netlify. We do not download or keep copies of them.
We do not sell your information, share it for advertising, use it to build a profile of you, or add you to a mailing list because you booked a call, sent an email or registered for an event. We only send news about future sessions and resources if you have asked us to. We do not use automated decision-making.
Google, which provides our booking page and our business email, and Netlify, our hosting provider, may process your information in the United States and other countries. For Google this covers anything you send when you book a call, email us or register for an event, and the sessions we run on Google Meet. Information you provide through the Share Your Experience form is processed by Google, which provides the form service. For Netlify it covers the server log data created when anyone visits the site. Google and Netlify are certified under the UK Extension to the EU-US Data Privacy Framework, which the UK recognises as providing adequate protection for transfers to certified US organisations. Google’s data processing terms also include standard contractual clauses for transfers.
Under UK GDPR you can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, and object to us using it. Where the right applies, you can also ask for a copy in a portable format. Where we rely on legitimate interests, you can object to that use at any time. Where we rely on consent, including for Share Your Experience, you can withdraw it at any time.
Email the address above and we will respond within one month. There is no charge.
If you are not satisfied with how we have handled something, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would rather you told us first, so we have the chance to put it right.
Employee surveys collect information about health, pregnancy, pregnancy loss and mental health. This is special category data under UK GDPR. Where we act as processor for a client organisation, we process it on their documented instructions under a written data processing agreement. Where we act as controller for our own research and benchmarking, our lawful basis is legitimate interests under Article 6(1)(f) and our Article 9 condition is archiving, research and statistics in the public interest under Article 9(2)(j) and Schedule 1 Part 1 paragraph 4 of the Data Protection Act 2018, subject to the safeguards in section 19 of that Act. Participation is always voluntary and responses are pseudonymised on receipt. Results are never reported for any group small enough that individuals could be identified. The minimum group size is set out in the agreement with each client organisation. We complete a data protection impact assessment before any survey goes live and will share it with the client organisation on request.
Share Your Experience is separate from the research and benchmarking described above, and we will not use what you share through it for that purpose without your further agreement. The rest of this notice covers the website, event registrations and the Share Your Experience form. Where we carry out a Diagnostic or other commissioned work, employee surveys and manager assessments are governed by a separate data processing agreement with the client organisation, and by the participant information provided at the point of each survey.
If this notice changes, the date below changes with it.
